Success Tracking

Success Tracking is the workhorse of SuccessWare. It manages the day-to-day operations of your business. You already know how much there is to do—scheduling appointments, taking orders, tracking work in progress, photographing portraits and wedding assignments, paying your bills, balancing your checkbook, supervising staff, marketing to your prospects and client base. The list just seems to go on and on. Success Tracking not only makes all of these tasks easier, it also automatically gathers and presents invaluable managerial information you need to make the most out of your studio business. With Success Tracking, you'll always know exactly what's going on with studio operations, workflow, and financial issues.

Prospect Inquiries
- This Success Tracking feature allows you to log in calls based on product requested, salesperson who handled the call, and the advertising source that prompted the call. Success Tracking provides you with a report that monitors your success in turning prospects into clients—by salesperson, product line, and advertising source—including a financial report of how much business is brought in by each. You learn precisely how effective your marketing is, and see the results of your marketing and telemarketing strategies.

Client Information - Success Tracking captures information about your client (name, address, phone/fax and business); personal data (wedding anniversary, hobbies, and children's names, ages, etc.) and a history of purchases (by dollar totals, product line, and session) made by the client. These data are essential if you are to market to your client base successfully.

Scheduling - Success Tracking's scheduler can schedule sessions and any other type of event for multiple photographers, assistants, salespeople, camera rooms, equipment, etc. It displays appointments with clients and prospects and shows their pertinent information. It even handles repeating events—such as weekly staff meetings—with ease.

To Do List Manager - Assign tasks to staff members, group them into projects, set their priorities, and deadlines, track their current statuses and attach related clients, prospects, sessions, or orders for easy reference.

Sales - When you record each client's financial transactions, the data is automatically complied into sessions reports, sales reports, and sales averages by product line and marketing category, as well as sales tax reports. These reports are available automatically on demand. The system also produces individualized invoices and allows you to track all orders as they flow through production.

Expenses - Through Success Tracking's powerful bill paying capabilities, you'll record expenses in a fraction of the time it would take to do so by hand. The entered financial information is automatically compiled into cash, checking, credit card, and savings accounts as well as comprehensive expense reports. Success Tracking helps you categorize expenses using a smart “wizard” that asks you simple questions about a purchase to determine the proper photography industry-standard account under which it falls. Related expenses are grouped into “functions” so you can more easily monitor your financial performance—both in dollars and in percentage of total sales.

Income & Expense Statement - This document is your primary management tool. It is compiled automatically and is available on demand: no fancy commands, no filters to run; just indicate what month you wish to view. In this report, you will view your actual financial performance—along side the financial projections made in the Success Planning application. Your session results reveal how well your marketing plan is working in creating clients; your sales results are an indicator of the effectiveness of your sales presentations; and the expense report (grouped by business function) shows how well you are controlling expenses. Finally, you see the “bottom line,” which is clearly expressed in terms that are most important to a business owner: “Owner's Compensation Plus Net Profit.” You will know where you stand on a day-to-day basis, not just when your income taxes are filed!

Direct Mail Marketing - Allows you to send snail mail and E-mail to your clients and prospects with a few mouse clicks. Built-in word-processing allows you to compose and print personalized sales letters, consultation follow-ups, new product announcements, past-due notices and much more by accessing your client, prospect and relationship information. Plus, Success Tracking's E-mail capability allows you to send personalized marketing messages for free! It's as easy as clicking a button!
