Using A Bulk Mailing House
NOTE: An Internet connection and Apple QuickTime
6.0 or later is required.
Sending your mailing list to a bulk mailing house can make the job of direct mail advertising much easier. Many mailing houses can laser print addresses on envelopes, print and stick labels, and handle much of the "dirty work" involved with bulk mailing. To send your addresses to such a business, you must export them to a file. To do so, perform the following steps.
Choose Print Or Export Mailing from the People menu.
The Print/Export Mailing window will appear.
Check the Print/Export check boxes for clients, relations and/or prospects.
If necessary, search for the desired clients, relations and/or prospects by using the Search pop up menu.
See Searching For Records in the Searching section.
If desired, check Print/Export CASS certified addresses only.
Doing so removes all people that do not have a CASS certified address (see What Is CASS Certification? in this section). Use this option if you are preparing a bulk mailing and do not want to prepare a separate mailing to addresses that do not qualify for the bulk mail reduced rates.
If desired, check Separate CASS and non-CASS certified labels.
Use this option when you are preparing a bulk mailing but also want to include people with non-CASS certified addresses using regular postage. The exported file will contain non-CASS certified addresses sorted by zip code followed by CASS addresses sorted by zip code and delivery point. Note that this option is disabled if "Print/Export CASS certified addresses only" is checked. See What Is CASS Certification? in this section.
If desired, check Ignore "No Direct Mail" check box on addresses.
Normally, Success Tracking removes anyone who has an address with No Direct Mail checked. Checking this "ignore" option will add these people to the addresses to be exported. You may need to do this to communicate with clients who have asked that you do not send them promotional mail.
Click the Export button.
A window will appear to allow you to name the export file and to set the location in which to place it on your computer.
When an Export Text File Specification window appears, click the PC or Macintosh radio button depending on which computer system will be using the export file.
Check with the bulk mailing house if you are not sure which system they use.
If the bulk mailing house requires fields in the export file to be quoted with commas separating adjacent fields, select Comma (with quotes around fields) from the pop up menu.
The default for this pop up is Tab, which means that fields are not quoted and adjacent fields are separated by a tab character.
If the bulk mailing house requires delivery points to be included with the addresses to allow them to print bar codes, check Export delivery points for bar codes.
Delivery points are only exported for CASS certified addresses. See What Is CASS Certification? in this section.
Click the OK button.
A window will appear stating the order in which the fields were written to the file.
Take note of the field order as the bulk mailing house will need this information.
